With the help of cPanel, it is pretty easy to create and manage email accounts for your domain. Sometimes your email may cause resource consumption issues. Inodes are an important resource that can be affected in shared hosting. In VPS, dedicated servers, the disk space is the main resource that will be affected by the number of emails. In this case, you need to limit the number of emails retained on the server to free up disk space.
This can be accomplished in two ways. Emails can be downloaded onto your local computer or mobile phone, whatever you use to access the emails with the help of an email client. This is possible by configuring the email client with the POP3 protocol. When using POP3, emails will be downloaded into the machine you use and will be stored locally. However, if you use multiple devices to access emails, you need to configure the client with IMAP. With IMAP, the emails will be stored on the server itself so that they can be accessed with multiple devices.
Email disk usage will allow you to view the disk usage of all the users of a domain name. You could also select the domain names so that the disk usage per domain can be found. Also, you can delete emails with this utility. In order to delete emails it must meet certain criteria.
1) 1-year-old or more
2) 30 MB in size or more
3) Previously viewed
4) All messages
5) Custom query
The steps to manage email disk usage from cPanel are listed below.
Step 1
Login to cPanel. You could login to cPanel from the portal at https://my.fastycloud.com if the service you have Linux shared hosting. cPanel is accessible at the port 2083. You could access the cPanel in the form of below URL. You need to replace the “domain.tld” with your domain name.
Step 2
Go to Email >> Email Disk Usage. You will be led to the interface to manage disk space.
Step 3
In the next screen, you could view a drop down menu to select the domain name. You could select the domain names under this cPanel account from this drop down menu. By default, the default email account will be selected and the details about each folder in it will be listed below. The details include mailbox name and number of messages.
Step 4
From the “Manage” link next to the domain name, you can select the options as to what type of messages should be deleted. After selecting the desired option from the drop down menu, you can click on the button “Delete Permanently” to delete the messages. Be careful, because the emails will be deleted permanently from the server and you may need to restore any backups to recover the emails.
